Magic Links: User Management for your Space

Activate Magic Links, create a user list, and define exactly who can view, enter, or moderate your space – all without complicated passwords.

 

Create a user list – here’s how

  1. In the Dashboard, open the desired space.
  2. Click the three-dot menu () at the bottom right, then select the gear icon Settings.
  3. Stay in the General tab and scroll to the Access section.
  4. Click the button Configure user list.
  5. Select Add new user and enter either
    • a specific email address (emma@company.com) or
    • a wildcard domain (*@partner.com).
  6. Enter a name or leave the name field blank for a generic salutation.
  7. Choose a role:
    • Guest – regular participants
    • Moderator – can, for example, mute microphones
  8. Set an expiration date. If the access should not expire, simply leave the date field blank.
  9. Save your changes.

All addresses and wildcards in this list are allowed to use Magic Links to enter the space; others will have no access.

 

Enable user management

  1. In the Restricted users dropdown, set the value to On – this enables user management in general.

Without this setting, there are no Magic Links, even if you have created a user list.

 

Send invitation email with Magic Link

Click the send icon to actively send the invitation email.

Note: Simply entering an address does not send an email.

Language of the email: It follows the browser language of the person sending it in the dashboard (German → email first DE, then EN | English → first EN, then DE).

 

Request Magic Link directly in the viewer

  1. If the option Restricted users is activated in the Viewer settings, visitors of your space can send themselves an access link, provided they are on the user list.
  2. Visitors open the space link, enter their email address, and click Send mail.
  3. If the address matches the user list or a wildcard, the Magic Link will be sent immediately by email. The email language follows the requester’s browser language.

 

Good to know

  • One device = one link: Once the link is opened for the first time, it binds to that device and is invalid on other devices.
  • Expiration date: Under Expiration date you can define until when links are valid. After that, ongoing sessions end automatically.
  • Owner exception: If you are logged in as the space owner, you always land in the viewer, regardless of which protection option is active.
  • User list or password: Both methods are mutually exclusive. Choose the model that is more important to you.
